
The Goal
A patient lands on your website or Google listing, taps Book Appointment, picks a slot, and gets a confirmation, all without calling the clinic, and the booking appears in your schedule with a reminder attached.
Step 1: Pick the Booking Engine
Use the booking module in your clinic management software if it has one, so bookings and records stay in one place. If not, choose a standalone scheduling tool that can export data and send reminders. Avoid anything that keeps your appointment data locked away.
Step 2: Set Up Your Availability
- Define each doctor's sessions, slot length, and breaks.
- Add buffer slots for emergencies.
- Set how far ahead patients can book and the cancellation cut-off.
Step 3: Add the Button to Your Site
Most tools give you a link or an embed snippet. Place a clear Book Appointment button in the site header and on the home page. If your site is on WordPress or a builder, paste the embed into a page block. Keep the form short: name, phone, doctor, slot.
Step 4: Connect Google
Add the same booking link to your Google Business Profile so patients can book directly from search and Maps. This is often where most new patients start.
Step 5: Turn On Reminders
Enable confirmation, evening-before, and two-hour reminders on SMS or WhatsApp. Add a reschedule link to each message.
Step 6: Test It Like a Patient
Book a real slot from your phone. Check the confirmation wording, the reminder timing, and that it shows correctly on the front-desk screen. Fix the message templates before you promote the link.
Step 7: Handle Walk-Ins Too
