
The Sticker Price Is Not the Real Price
Vendors quote a monthly or annual subscription. The true cost of running clinic software includes several other lines. Budget for all of them before you compare quotes.
The Cost Components
- Software subscription or licence. Cloud products charge per month, often per doctor or per user. On-premise products charge a larger one-time licence plus annual maintenance.
- Setup and configuration. Loading your services, rates, templates and users. Sometimes free, sometimes a one-time fee.
- Data migration. Moving existing patient and billing history. Priced by volume and complexity; the messier your current data, the more it costs.
- Training. On-site or online sessions for staff. Factor in the productivity dip during the first two to three weeks regardless.
- Annual maintenance (AMC). For on-premise, typically fifteen to twenty per cent of the licence per year. For cloud, updates are usually included.
- Communication charges. SMS and WhatsApp messages are billed per message, either passed through or marked up. At scale this is a real monthly number.
- Storage. Large volumes of scanned documents and images may exceed the included quota.
- Hardware. Reception computer, printer, barcode scanner, label printer for a lab or pharmacy, a lobby display for a queue. Usually modest and one-time.
- Integrations. Analyzer interfaces, payment gateway, Tally, ABDM connectors may carry setup fees.
A Rough Picture
A solo or small clinic on a cloud plan typically lands in a low four-figure rupee range per month all-in, once messaging is included. Multi-doctor clinics and labs scale up with users, messages and integrations. On-premise hospital systems shift most of the cost to a large upfront figure plus AMC.
Protect Yourself in the Contract
- Ask for renewal pricing in writing; year-two hikes are common.
- Confirm data export is free and available on demand.
- Get the per-message rate and any markup stated explicitly.
