The Core Requirement
Running several clinics as one brand means every branch works the same way while the owner sees everything from one place. The software has to enforce common workflows without making each location rigid.
One Patient, Any Branch
A patient registered at one clinic should be found instantly at another, with full history. That means a single patient master across branches, not a separate database per site. It also means clear rules on which staff at which branch can view a record.
Standardise, But Allow Local Flexibility
- Standardise: service catalogue, consultation templates, billing rules, message templates, and reports.
- Allow to vary: doctor rosters, slot timings, local rates and taxes where legitimately different, and branch-specific offers.
Define the standard centrally and let branches adjust only the fields they are permitted to.
Pricing and Fees
Support branch-wise price lists, per-doctor fees, and the correct GSTIN and invoice series per registered location. A central rate is the default; a branch override needs a reason and a log.
Central Dashboards
The owner view should compare branches fairly: revenue, footfall, new versus returning patients, appointment fill rate, wait times, and outstanding dues, side by side. Consolidated accounting and MIS roll up automatically.
Inventory Across Branches
If branches share stock, support transfers with approval and tracking, so pharmacy and consumables move between sites without leakage.
Rolling Out
Pilot at one branch, stabilise the configuration, write a short playbook, then roll out branch by branch with two weeks of hand-holding each. A queue tool such as ClinicQueue deployed the same way at every site gives patients a consistent waiting experience across the chain.
