
Why Patients Miss Appointments
Deliberate no-shows are rare. Patients forget, lose track of time in a long wait, cannot come and do not know how to cancel, or never felt committed to a slot they booked casually weeks ago. A reminder strategy addresses each cause.
The Channel Choice
- WhatsApp first: high open rates, supports links and replies.
- SMS as the fallback for patients not on WhatsApp.
- Email only for detailed pre-visit instructions, not time-critical nudges.
- A phone call reserved for high-value procedures and repeat no-show patients.
The Timing Ladder
1. On booking: immediate confirmation with date, time, doctor and location. 2. Evening before: reminder with a one-tap reschedule and cancel link. 3. Two hours prior: short nudge, plus live queue status if you use a queue tool. 4. On no-show: a same-day message offering to rebook this week.
Message Wording
Keep it human and specific. Name the patient, name the doctor, give the time and address, and make the next action obvious. Avoid all-caps and marketing tone. One clear call to action per message.
Structural Add-Ons
- Easy reschedule so a freed slot can be filled.
- Automated waitlist to offer that freed slot instantly.
- Prepaid or deposit booking for premium and high-demand slots.
- Post-visit rebooking for follow-ups, with a reminder attached.
Realistic Targets
A busy OPD often starts at fifteen to thirty per cent no-shows on booked slots. Layered reminders plus easy rescheduling typically bring it to under ten per cent. Prepaid booking can push premium slots lower still.
Close the Loop
Review no-show rate by doctor, day and slot each month. Patients who can watch a transparent queue on their phone, through a tool like ClinicQueue, are also less likely to drift away and miss their turn.
