Why WhatsApp
In India, WhatsApp is where patients actually read messages. Open rates are far higher than SMS, it supports links and documents, and patients can reply to confirm or reschedule. For a clinic, that makes it the primary channel for reminders, reports and recalls.
Setting Up the Business API
- You need the WhatsApp Business API, accessed through your clinic software or a provider, not the consumer app.
- Register a business number, verify your business, and set a display name.
- Message templates for notifications must be pre-approved by WhatsApp. Draft them clearly, with variables for name, doctor, time and link.
Consent and Compliance
- Collect opt-in at registration and record it.
- Every message flow should offer an easy opt-out, and you must honour it.
- Send only relevant, transactional content on the notification templates; do not turn reminders into marketing.
High-Value Automations
- Appointment lifecycle: confirmation on booking, reminder the evening before, nudge two hours prior, each with a reschedule link.
- Queue updates: live token position and a come-now alert when the patient's turn is near.
- Report and prescription delivery: a secure link once the report is ready, with access control.
- Follow-up recalls: a message when a patient is due for review, chronic-care check-in, or annual health check.
- Post-visit: a thank-you with a review link and a feedback prompt.
Two-Way Handling
Decide who watches replies. Patients will reply to confirm, ask directions, or request a change. Route these to the front desk queue, not a black hole.
Measure
Track delivered, read and reply rates per template, and no-show rate before and after. Prune templates nobody reads. A queue tool like ClinicQueue provides the live-status and come-now messages out of the box.
